ABOUT JOB

We are looking for a part-time Administrative Assistant to support the Leadership Team (VP Chief of Staff, VP Operations, and VP Business Development) under the direction of the Business Transformation Manager. Your duties will range from Human Resources, Reporting, Administrative Operations, Marking and Sales Support, Special Projects and more. The ideal candidate will be comfortable with repetitive processes with a willingness to undertake a variety of ad hoc projects and tasks. This person must be comfortable prioritizing, maintain a high-level attention to detail, and proactive communication. You will have responsibility and influence throughout the organization and play an important role in our day-to-day business.

Responsibilities

Recruiting & Human Resources:

Track and announce special employee dates to the company.

Order gifts in accordance with employee appreciation and recognition programs.

Support day-to-day back-end human resources needs and help drive organizational execution.

Administrative Support:

Monitor lines of company communication (phones, mail, email) and direct inquiries to the correct team.

Visit the company office weekly to collect and scan mail.

Prepare and ship an occasional package on behalf of the company.

Work with the Leadership Team to support company goals and strategic priorities.

Various administrative clerical duties as necessary.

Marketing and Sales Support

Assist with administration of various marking and sales efforts.

Use a variety of marketing tools (ex: MailChimp, Photoshop) to support Sales and Marketing efforts.

Coordinate sales and marketing resources, as necessary.

Reporting

Update Excel spreadsheets with basic formulas and data.

Download reports and data, verify information, and communicate discrepancies.

Special Projects

Various special project assistance, as necessary. These will vary in scope and responsibility level. Special projects will be assigned by the Leadership Team with clear expectations and timelines defined.

Requirements

Proven experience in an Administrative Assistant or other relevant clerical role.

Understanding of general administrative functions.

Experience with Excel, email, and a high level of comfort with computer systems.

Strong attention to detail and organizational skills.

Ability to keep track of deadlines across multiple projects.

Excellent communication with a diverse team and wide range of roles.

BS/BA is preferred.

The pay range for this role is:

20 – 22 USD per hour (Remote )
