Roles & Responsibilities

We are seeking a proactive and detail-oriented Office Administrator to support our recruitment team and ensure the smooth functioning of our office operations. The ideal candidate will be organized, efficient, and capable of handling multiple tasks while contributing to a positive work environment.

Office Management:

Oversee daily office operations, ensuring a welcoming and efficient workspace for staff and candidates.
Communication: Serve as the first point of contact for clients and candidates, managing phone calls, emails, and inquiries professionally.
Scheduling: Coordinate interviews, meetings, and candidate assessments, including arranging travel when necessary.
Documentation: Maintain accurate and organized filing systems for candidate records, contracts, and other important documents.
Database Management: Update and maintain our applicant tracking system (ATS) and other databases, ensuring data integrity and confidentiality.
Financial Support: Assist with basic accounting tasks, such as invoicing clients and processing payments.
Event Coordination: Help organize recruitment events, career fairs, and team-building activities.
Team Support: Provide administrative support to recruitment consultants, including preparing candidate summaries and job postings.
Compliance: Ensure adherence to company policies and procedures, particularly regarding data protection and confidentiality.

Desired Candidate Profile

Diploma or equivalen degree in business administration or a related field is a plus.
Proven experience in office administration, preferably within a recruitment or human resources environment.
Proficient in Microsoft Office Suite and experience with ATS or CRM software.
Strong organizational and multitasking skills, with a keen attention to detail.
Excellent communication skills, both verbal and written.
Ability to work independently as well as part of a collaborative team.
Familiarity with recruitment processes and HR practices is an advantage.
Must be on Dependent Visa/ Family Visa in UAE
