OPERATIONS MANAGER

We’re looking for an Operations Manager to ensure our day-to-day operations continue to run smoothly as we grow and evolve.

About the Role:

We are seeking an Ops Manager to oversee the general operations of Box of Crayons. In this role, you will own the inside operations of the business and work with leaders to ensure it is a well-run company, with the right information to the right people, at the right time. This means that your role will include things like reviewing existing systems and processes, and in partnership with department leads and other team members, find areas for us to improve, plan and help execute long-term initiatives for success.

We need someone who is hands-on, and who isn’t afraid of blending strategic thinking and carrying out the daily administrative tasks that characterize small business life. A key liaison to external consultants (IT, HR, etc), you are a strong project planner, communicator, and a generous and curious collaborator.

Key Responsibilities:

The role of an operations lead is often different in different businesses, and different stages of an organization’s growth. As such, many pieces of the operations manager’s role are pieces of other roles, and as Box of Crayons evolves and grows, the role will evolve, too. But there are a few critical business functions that we want our operations lead to be managing:
• Working to evolve, and align the team to Box of Crayons’ operating system (leadership team meetings, all-company meetings and offsites)
• Collaborating with the executive team to create long-term plans and initiatives to accomplish company goals (OKRs and multi-year objectives) efficiently
• Coordinating with other teams to implement strategies, process and system changes, and cross-training efforts such as info security and privacy practices
• Helping establish sources of truth for all corporate data and a map of all key corporate systems
• Working with legal to help establish key information systems and legal agreements used in our business
• Analyzing processes with an eye to minimizing costs and finding efficiencies
• Developing (with support as needed from external HR, and in partnership with people managers) and implementing strategies to support ongoing strategic skill development and programs and practices to keep employees engaged
• Reviewing and improving on- and offboarding processes, and support administratively and through interviews the search for new talent
• Creating presentations and communicating with executives about plans and strategies
• Leading the execution of org-wide initiatives such as the implementation of a new tool or rolling out new Google Workplace processes and practices,
• Administering (and continuously improving the use of) key corporate systems (Google, Zoom, Collage, Slack, etc.)
• Administering employee benefits (i.e.. health & dental, RRSP, PTO)
• Leading and managing/maintaining vendor relationships, including vendor vetting practices, vendor onboarding (including contract/document administration ), and client onboarding process and practices, in partnership with finance, legal and sales
• Project managing major cross-functional projects, including holding regular meetings to communicate updates and timelines, and resolve issues
• Planning and executing team events, and assisting with client events as needed

Our ideal candidate:

• Has 8-10 years’ experience as an operations manager
• Has experience with financial planning, process creation, policy drafting, and has budgeting skills
• Is highly proficient using Google Workplace, Excel/Google Sheets, Hubspot
• Is looking for an opportunity to build operational systems and processes that incorporate new technologies for a growing business
• Wants to grow and help lead growth in a small but mighty team
• Loves rolling up their sleeves and doing hands-on work
• Sees operations as critically in service to the business, and to making the business run smoothly
• A plus is if you also have a clear understanding of database architecture, and basic data regulations

HIRING PROCESS & DETAILS

Location: We are a distributed workforce with people located across Canada. We ask that only applicants eligible to work and based in Canada apply.

Our Hiring Process:

To give you more insight into what to expect, qualified, selected candidates will have:

Step 1: 20 minute phone call covering the basics of the role and our company, and a high-level overview of your past experiences, goals and interest in this role.

Step 2: A 45-minute video interview with members of the BOC team to dive deeper into your experiences, goals and communication style.

Step 3: A 60-minute video interview with Senior Leaders including candidate’s presentation of exercise

Step 4: References checked for the successful candidate(s).

Projected Start Date: October 15, 2024

Salary Range: 120,000-140,000
