About the Job
• Compile and prepare documentation and provide coordination in support for the tendering and contracts services for the Rental Services operations (making new contracts, attesting “in municipality” and renewing contracts) while maximizing the utilization of available systems in line with ADNOC Distribution’s standards, policies and procedures. In addition, rental sales managers duties.
• Plan and manage the rental sales of ADNOC Distribution outlets at various Service Station sites and premises (Vehicle Inspection Centres, Stand Alone Autoserv, Food Truck operators and Land Investment) across UAE, in line with defined non-fuel retail business plan to drive revenue growth.
Key Accountabilities
• Contribute in all the tendering activities starting from the Expression of Interest till distribution of the Agreement, for the all operations and services related to Rental Services in line with defined policies.
• Maintain scheduling of the process, follow-up with management and end users on the status of contracts handled and clarify related queries to maintain continuation of services.
• Identify the vacant outlets at the ADNOC Distribution Service Stations; check the area, location and facilities such as utilities and overall condition of the vacant outlets before proceeding the process for subletting the outlets to suitable tenants.
• Receive offers and arrange meetings with highest bidders, prepare report on the received bids and evaluate them with Management for selection of suitable tenant.
• Lead the process of finalization of tenancy agreement, terms and condition whilst ensuring that ADNOC Distribution interest protected.
• Coordination with legal and other stakeholders in ADNOC Distribution to ensure all contract T&Cs are in line with the policies.
• Oversee collection of payment by various tenants as well as to validate prior to sharing with Finance for processing.
• Manage renewals completion of lease agreement; and inform tenant about renewal, obtain agreement on renewal/ termination and process necessary documentation along with finance and other departments.
• Work with the IT team to introduce enhanced processes and technology including any changes in existing vendor management system for effective operational management.
• Update and maintain standard forms of communication, tender document, tender board submissions.
• Compile and prepare tender documents as per user requirements, and handle necessary formalities and preparations based on company procedure related to tender invitation.
• Make necessary arrangements for third party visits, in coordination with the bidders and end-users; assist in solving system-based problems faced by bidders during online bid submission for effective operations.
Minimum Requirements
• Bachelor’s degree in business administration or marketing.
• At least 4 years of experience in contract management within a large industrial organization, preferably in the Oil and Gas industry
• Knowledge about the process, technical bids, commercial bids, etc.
• Demonstrated ability to conduct Contractual/Commercial activities.
