Your opportunity: Under the supervision of the Executive Assistant to the Office of the Dean of Student Affairs, the incumbent will foster a welcoming, positive, friendly, professional and resourceful environment while providing advanced office and reception support in order to ensure efficient office operation. This includes providing a high level of confidential secretarial, administrative, and logistical assistance to the Executive Assistant and to senior-level administrators.
This role is also the first line of contact for current and prospective students, faculty members, as well as the general public who have inquiries about the department and its programming. In addition, the incumbent will take the initiative to help ensure that deadlines and schedules are met; participate in the coordination of mass mailings; monitor and order office supplies and catering services; and perform other duties as required pertaining to the maintenance, operation, and activities of the Office of Student Affairs. Your responsibilities will include: • Acting as the first point of contact for general enquiries • Scheduling appointments • Scanning, filing and copying documents • Handling sensitive and/or confidential information • Maintaining office supply inventory • Arranging catering • Maintaining senior staff calendars • Making minor purchases Essential Qualifications: • College Diploma (2 years) or acceptable combination of equivalent experience. •
Minimum two (2) years related experience in an administrative position dealing with front-line services, including responding to inquiries from a wide variety of stakeholders. • Related administrative experience in an academic environment. • Experience supporting events. • High proficiency with Microsoft Office Suite (Word, PowerPoint, Outlook, Excel, OneDrive), Adobe Acrobat, Internet. • High proficiency using meeting software (MS Teams and Zoom) •
Familiarity with scheduling tools/software. Assets (Nonessential): • Experience referring students in a post-secondary environment.
