I’m Noel, CEO of JobRack, and I’m looking for a full-time Executive Assistant / Sales Admin to join me in helping our business grow, keep me organised, and ensure everything runs smoothly both in business and in my life.

This role is dynamic and varied. From supporting day-to-day business operations to taking on personal tasks, you’ll help ensure everything runs smoothly.

Key responsibilities:

🗓️ Inbox & Calendar Management – for email, LinkedIn, Slack, and more.

📊 Sales Admin – CRM updates, following up with prospects, and ensuring our reports help us make smart decisions.

💡 Event Planning – Organising everything from intimate dinners to large team retreats.

🧾 HR Support – Helping with onboarding/offboarding, birthdays, and team celebrations.

🎉 Client Delight – Ensuring our clients feel supported and delighted by our service through extra touches like regular contacts from Noel, gifts and fun videos from Noel.

🫂 Culture Building – Organise fun team events, lunches, and activities.

📈 Financial Tracking – Assisting with financial reporting and keeping tabs on spending.

📱 Special Projects – From automating processes, finding uses for AI, to improving our client presentations

Example Projects you’ll work on:

➡️ Implementing a personal CRM system in Airtable and creating processes to keep it updated.

➡️ Researching and creating a financial planning and analysis process to help budget and forecast future spend and growth.

➡️ Improving how we present candidate shortlists to clients, making them simple, beautiful, and efficient.

➡️ Streamlining SOPs, files, and Google Drive, ensuring everything is well-organised and easy to access.

➡️ Organising online workshops, including setup, signup pages, slide decks and pre/post-event communications.

➡️ Creating beautiful guides and marketing materials from content we already have.

Working Hours ⏰: Full time, you’ll be expected to work Monday – Friday for 8 hours in the span of 8 AM — 6 PM London time

I need someone who is:

✅ Exceptionally organised and loves taking responsibility and getting things done right the first time.

✅ Obsessed with the details – when things go wrong, you find solutions to prevent it from happening again.

✅ A proactive problem-solver who loves making life and work easier for everyone.

✅ A great communicator who is reliable, positive, and fun to work with.

Here’s what you’ll need:

✅ 3+ years of experience as an Executive Assistant / Chief of Staff / Office Manager.

✅ Strong written and verbal English communication skills

✅ Experience with Hubspot, Google workspace, Airtable and Notion.

✅ The ability to manage multiple tasks and keep things moving efficiently.

✅ Tech-savvy and comfortable with new software.

✅ Self-starter, independent and takes ownership of tasks.

✅ Desire to learn, upskill and participate in courses

Bonus Points if you have:

✅ Experience with event planning, project management and basic video editing.

✅ Knowledge of automation tools like Zapier.

✅ A passion for learning new things and a can-do attitude!

✅ Experience finding and hiring freelancers on platforms like Fiverr and Upwork to help complete tasks and projects.

The hiring process for this position will include the following steps:
