Job description

The University Counseling Services Center is currently seeking a detail-oriented and proactive Administrative Assistant to support operational functions and coordinate counseling service activities and materials.

The successful candidate will play a crucial role in supporting the smooth operation of the Counseling Services Center by managing administrative tasks, maintaining records, and assisting with various center activities.

Job Responsibilities

• Administrative support:
• provide general administrative support to the Counseling Service staff, including scheduling appointments, managing calendars, and handling correspondence.
• Assist in preparing presentations and other resources for the University Counseling Service.
• Provide administrative support to counselors and other staff members as needed.
• Client Services and Appointment Management:
• Greet and assist students, faculty and staff visiting the Counseling Services Center.
• Schedule and confirm counseling appointments and manage client intake forms.
• Maintain confidentiality and privacy of client information in accordance with University policies, ethical and legal requirements.
• Maintain non-confidential system-related records in an organized manner.
• Communication and Coordination:
• Serve as a liaison between Counseling Services staff, other university departments and external organizations.
• Coordinate meetings, workshops, and events related to the Counseling Service’s programs and services.
• Communicate information about Counseling Services resources and policies to the American University community.
• Answer phone calls and direct inquiries to the appropriate staff members.
• Respond promptly to general email inquiries with professionalism and accuracy.
• Data Management and Reporting:
• Compile and maintain statistical data related to client appointments, services provided and outcomes.
• Assist in preparing reports for internal use.
• Ensure accurate and up-to-date information in the center’s database.
• Regularly update client records and appointment schedules.
• Office Management:
• Order and maintain office supplies and equipment, ensure an organized work environment.

Qualifications and Skills Required

• Bachelor’s degree
• Proven experience in administrative support roles, preferably in a university or healthcare setting.
• Strong computer skills, including proficiency with Microsoft Office Suite and electronic health record systems.
• Knowledge of mental health issues and counseling services is preferred.
• Excellent communication skills, both written and verbal, with a customer service-oriented approach.
• Awareness and knowledge of UAE culture.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Strong organizational and multitasking abilities, with attention to detail and accuracy.
