Simon Property Group, a leading global retail real estate company, is seeking a dedicated and resourceful Personal Assistant to support our executive team in Dubai. • *Key Responsibilities:**

1. **Administrative Support:**
– Manage daily administrative tasks, including scheduling appointments, coordinating meetings, and organizing travel arrangements.
– Prepare, edit, and proofread documents, reports, presentations, and correspondence, ensuring accuracy and professionalism.
– Maintain and manage electronic filing systems and ensure all relevant documentation is organized and accessible.

2. **Communication Management:**
– Serve as the first point of contact for internal and external communications, demonstrating professionalism and discretion.
– Handle incoming calls, emails, and correspondence; respond or redirect inquiries appropriately.
– Prepare agendas and record minutes of meetings, ensuring follow-up on action items as needed.

3. **Project Coordination:**
– Assist in the planning and execution of special projects, ensuring timelines and targets are met.
– Collaborate with team members across various departments to gather information and achieve project goals.
– Monitor project progress and provide updates to stakeholders regularly.

4. **People Management:**
– Foster a positive and productive working relationship with team members, clients, and external partners.
– Coordinate and facilitate team events, meetings, and group activities that promote collaboration and engagement.

5. **Research and Analysis:**
– Conduct research on various topics as needed, compiling data and presenting findings in an organized manner.
– Identify opportunities for process improvements within the executive’s workflow and suggest actionable solutions.

6. **Personal Assistance:**
– Provide personal assistance to the executives, including managing personal appointments and errands as required.
– Display a proactive approach in anticipating the needs of the executives to enhance their productivity.
• *Requirements:**

– **Education:** Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
– **Experience:** Minimum of 3 years of experience as a Personal Assistant or in a similar administrative role, preferably within a corporate environment.
– **Personality Traits:**
– Passionate about supporting others and contributing to team success.
– Highly motivated with a strong desire to achieve personal and professional growth.

– **Soft Skills:**

– Strong presentation skills with the ability to effectively communicate ideas and information both verbally and in writing.
– Excellent people management skills, capable of building relationships and working well with diverse teams.

– **Technical Skills:**

– Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software/tools.
– Familiarity with project management tools and software is a plus.

– **Availability:** Must be flexible to work part-time hours as needed to align with the executive’s schedule.
